How we collect, use and protect your personal data.

OK Sales Agency (Oliver Keis, “we”, “us”) values your privacy. This privacy policy explains what personal data we collect on oliverkeis.ee, why we collect it, who we share it with, and what rights you have over your data.

We process personal data in line with the EU General Data Protection Regulation (GDPR) and Estonian data protection law.

What data we collect

We only collect the data needed to answer your enquiry and to operate the website:

  • Contact form data: name, email address, company name, meeting topic and type, and the content of your message.
  • Chat (quote request) data: your answers, contact details and the service you are interested in.
  • Technical data: IP address, browser type, pages visited, time of visit and referring page.
  • Campaign data: UTM parameters and click identifiers showing which channel brought you to us.
  • Cookies and web analytics data.

Consent on the contact form

When you submit the contact form we ask you to confirm that you agree to your data being processed. Specifically, this consent means we use the name, email address, company name and message you provide only to respond to your enquiry, arrange a meeting and, where relevant, prepare a proposal.

We also record the time consent was given, the page the enquiry was sent from and campaign parameters, so we can demonstrate consent later and understand where the enquiry came from.

Giving consent is voluntary, but without it we cannot process an enquiry submitted through the form. You can withdraw consent at any time by writing to oliver@oliverkeis.ee — we will then delete your data, except where we are legally required to retain it.

We do not use contact form data for marketing emails without your separate consent, and we never sell it to third parties.

Legal basis for processing

We process personal data on the following bases: your consent (contact form and chat), taking steps at your request prior to entering into a contract (preparing a proposal), and our legitimate interest in keeping the website secure and improving our services based on statistics.

Data retention

We keep enquiry and contact data for up to 24 months from our last interaction so we can continue unfinished conversations. Accounting documents relating to a client relationship are kept for the statutory period (7 years). Aggregated web analytics data is kept for up to 14 months.

Sharing and processors

We do not sell or rent your personal data. We share data only with trusted service providers who help us run the website and our communications:

  • Web hosting and database — to store enquiries.
  • Email service provider — to send confirmations and internal notifications from notify.oliverkeis.ee.
  • Web analytics (Google Analytics) — to collect visit statistics.

Cookies

We use cookies necessary for the website to function and analytics cookies that help us understand how visitors use the site. You can block or delete cookies in your browser settings at any time, though this may affect how the site works.

Data security

We apply reasonable technical and organisational measures to protect your data: encrypted connections (HTTPS), access limited to people who need it, and spam filtering on submissions. However, no method of transmission over the internet is 100% secure.

Your rights

Under the GDPR you have the right to:

  • be informed about and access the data we hold about you;
  • request correction of inaccurate data;
  • request erasure of your data (“right to be forgotten”);
  • restrict or object to processing;
  • receive your data in a portable format;
  • withdraw your consent at any time.

Complaints

If you believe your data has been processed unlawfully, please contact us first at oliver@oliverkeis.ee. You also have the right to lodge a complaint with the Estonian Data Protection Inspectorate (www.aki.ee).

Changes to this policy

We may update this privacy policy from time to time. The current version is always available on this page together with the date it was last updated.
